Administrative Assistant for Construction Company

Our company is seeking a highly-motivated administrative assistant preferably with Construction experience to join our team located in Panama City Beach.
Mid-to Upper level Assistant position in an office environment. Candidate will assist to maintain office operations by answering phones, maintaining supplies and equipment; receiving, preparing, and transmitting communications; picking-up and delivering items. Candidate must be professional, detail oriented and friendly. Good growth opportunity.
â€¢ Answering incoming calls, greeting guests, keeping area clean and organize, receives, prepares, and transmits communications by preparing and organizing documents for mailing, collecting and mailing correspondence, receiving and distributing communications.
â€¢ Screen and route communications. Such as drafting and distributing memos, letters, and e-mail communications.
â€¢ Provide assistance for personal projects (i.e. travel, personal business, meeting arrangements, errands, etc.).
â€¢ Scheduling maintenance and various repairs appointments in the office.
â€¢ Support to the Accounting Department by mailing out checks and filling.
â€¢ Prepare and maintain credit cards reimbursements, ledger spreadsheets, and receipts.
â€¢ Make bank payments and deposits.
â€¢ Scanning and filing all invoices, contracts, agreements, etc.
â€¢ Maintains supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; negotiating prices; verifying receipt of orders; stocking items; delivering supplies to work stations.
â€¢ Maintains equipment by installing supplies; troubleshooting failures; calling for repairs; monitoring equipment service.
â€¢ Prepare claim of liens, notice to owners, letter of Authorization, permits, etc.
â€¢ Accomplishes company’s mission by completing related results as needed.
Experienced Administrative Assistant professional
2-5 years Admin experience
Phone and Computer skills, Strong customer service skills
Work well individually or as part of a team
Highly Organized, Willingness to learn, Strong interpersonal phone skills, Detail oriented
PC Proficiency, Professionalism, Supply Management, Multi-tasking, Organization, Administration Skills, Client Relationships
